New agency website: keep your CRM or change it?
Changing your website should not force a full agency reorganisation. First list what your software actually does and the problem you want to solve. A catalogue connection and a complete migration are different projects.

Keeping your business software
Start with essential uses: properties, contacts, enquiry handling, distribution and possibly rental management. Your website may need only part of that information. Establish which data moves, how often and in which direction.
In a fictional example, properties remain managed in your software while the website presents them. Decide where sold or let status originates, how removal is handled and where website enquiries are read. This scenario claims no vendor compatibility.
What a connection must specify
Ask your vendor which access or exports it provides and on what terms. Test a small sample: property identifier, price, photos, availability and contact details. For contacts, specify the necessary fields and authorised readers.
Two-way sync requires a decision on which source prevails when both change. It cannot be inferred from the word connection. The quote should separate vendor fees, setup, maintenance and any bespoke development.
- Which data moves, and in which direction?
- What is the source of truth for each field?
- How are removals, duplicates and errors handled?
- Who receives an enquiry and can read it?
- Which external fees and limits are confirmed?
Starting an agency or preparing a migration
The VITRIMO CRM is part of the proposed foundation for contacts, enquiries, sales follow-up and tasks. Check its fit before replacing your software. It is not presented as equivalent to every transaction or rental management suite.
For migration, obtain an authorised export, check useful data and test an import. Compare totals and sample records after transfer. History, private documents and automations each require explicit scope; they are not assumed to migrate with a contact list.
Two workspaces with different purposes
The agency workspace proposes published properties, new enquiries and remaining publications. Team roles separate preparation, approval and reading. These implemented screens are not a promise of activated traffic analytics.
The landlord workspace is a separate proposed private module in Activity. Its content and access are agreed with the agency and checked before invitations. It does not automatically replace your current software’s owner functions.
What VITRIMO proposes
The VITRIMO CRM is included in the proposed foundation. If you retain your software, preparation of one standard connection is proposed after feasibility is validated. Covered exchanges are specified in the proposal. Bespoke development, two-way sync and vendor fees are detailed separately.
